Jackson State Community College Job Summary The Director of Admissions and Records serves as the college Registrar and manages all enrollment and records policies, timelines, reporting, and sets registration procedures and functions for the college.
Director maintains and ensures accuracy and confidentiality of student records, including applications, transcripts, registration and grading data, and collaborates across the college.
Job Duties 65% - 1) Admissions a.
Ensure and enforce international, federal, state, institutional and TBR admissions standards compliance.
2) Transcripts a.
Oversee processing and evaluation of student transcripts.
Communicate with various external agencies (Veterans, Athletics, SEVIS) regarding student participation progress.
3) Enrollment a.
During registration periods check for registration errors, correct errors or notify appropriate Deans.
b.
Provides oversight for all admissions functions, communications, activities c.
Prepare the Clearinghouse enrollment report each semester-currently enrolled student.
4) Staff Supervision, Budget and Professional Development a.
Direct supervision and management of admissions and records staff.
b.
Hires, trains, evaluates performance disciplines.
c.
Ensures professional development, dismissal or retention of staff according to established policy and procedure.
d.
Serve on various taskforce, committee boards and advisory boards.
e.
Serves as a member of the Student Services Leadership Team.
f.
Prepare and administer budget for program activities and services to maximize financial benefit to both the College and customers.
g.
Responsible for managing the operating budgets appropriate to meet the department's needs.
h.
Represents and advocates for students.
i.
Represent the college during varied activities.
j.
Other duties as assigned.

This position currently requires face-to-face, on campus work.
- (Essential) 35% - 1) Course Scheduling and Routings a.
Maintain responsibility for updates and changes in Banner related to academic calendar, registration timelines, catalog changes and student data changes.
2) Grading a.
Open web for Faculty to enter final grades.
Monitor the timely and accurate input of grades to ensure integrity across processes that depend on GPA calculations and LDA reporting.
b.
Process students with late withdrawals.
c.
Process final grades and grade changes each semester.
3) Completion a.
Ensure degree requirements have been met and are posted/transcripted properly according to TBR and JSCC guidelines, including assignment of grades, GPA calculations, honors and other academic standings acknowledgement.
b.
Communicates to various groups of students regarding program eligibility.
4) Eligibility a.
Determine academic probation/suspension status of students.
b.
Provide list of students on academic suspension each semester.
c.
Provide letter to students on probation listing probation guidelines.
d.
Respond to Clearinghouse requests for student enrollment/graduation data/former students.
e.
Certify athletic eligibility.
f.
Provide accurate and timely services to support processes such as loan deferment form process, letters of enrollment for insurance companies, and other comparable documents as needed.
g.
Oversee evaluation and processing of military transcripts as received.
Notify student and VA Office of credit accepted.
h.
Ensure eligibility for international students' enrollment.
- (Marginal) Minimum Qualifications Master's Degree with a minimum of two- or three-years' experience using Banner, or other Student Information Systems, and working with student records and college catalog.
Knowledge, Skills, and Abilities Strong interpersonal communication skills; ability to effectively communicate using both written and verbal skills.
Current knowledge and application of laws related to maintenance and release of student records, including FERPA, the Solomon Amendment, and the Patriot Act, required.
Employee must exercise ethics due to handling of confidential information.
Reasoning ability also required in effective supervision, proper assessment of transcript information and academic certifications.
Proficiency with Banner and thorough knowledge of Banner system record screens used to maintain student records.
Knowledge of other Student Information Systems (Degree Works, Slate, etc) and Internet use, particularly Web for Students and Web for Faculty programs, proficiency with Microsoft Office basics, strong in Excel.
Analytical skills required to effectively advise and assist students, faculty and staff both on campus and off-site related to areas of responsibility.
Analytical, marketing, project management and facilitation skills required.
Must exercise ethics to ensure consistency and confidentiality in admissions process.
Pay Rate:
$68,731 - $85,913 Annual salary depending on eligible experience which is defined by the current compensation plan.
